Ndovu African Expeditions Limited Terms & Conditions

These Terms & Conditions apply to all tours booked with Ndovu African Expeditions Limited (trading as Ndovu African Expeditions), a local, family-owned adventure travel company based in Arusha, Tanzania. These Terms & Conditions govern the contractual relationship between Ndovu African Expeditions and you, the client.

Please read them carefully. By booking a tour with Ndovu African Expeditions, you acknowledge that you have read, understood, and agreed to be bound by these Terms & Conditions. You also confirm that you accept these terms on behalf of all persons included in your booking. The individual who confirms the booking will be considered the primary contact for the group.

Deposits & Final Payment

A 30% deposit is required at the time of booking to secure your reservation and initiate arrangements. Final payment must be received no later than 6 weeks prior to the tour’s start date. If booking within 6 weeks of departure, full payment is required.

All payments must be free of bank charges and credit card transaction fees. Payment instructions will be provided via email.

Booking Agreement

A booking is considered confirmed once:

  • The 30% deposit is received by Ndovu African Expeditions Limited, and
  • Written confirmation is sent to the client.

The individual making the booking must be 18 years or older and agrees to provide complete and accurate information for all clients included.

If booking on behalf of others, the booking party confirms they:

  • Have full authority to act on behalf of all named clients, and
  • Have provided all required and accurate information and obtained the necessary permissions to share it with Ndovu African Expeditions.
  • Cancellation Policy

All cancellations must be submitted in writing. The following cancellation fees apply, based on the date written notice is received:

  • 61+ days before departure: Loss of deposit
  • 60–45 days: 30% of total safari cost
  • 44–29 days: 60% of total safari cost
  • 8–7 days: 90% of total safari cost
  • Less than 7 days: 100% of total safari cost

COVID-19 Policy

As of now, Tanzania does not require a negative PCR test for entry (unless you are not fully vaccinated). We are therefore unable to offer flexibility in our cancellation terms related to COVID-19.

If We Cancel Your Tour

While cancellations are rare, we reserve the right to do so in the case of unforeseen, extraordinary circumstances. In such cases, you will be offered:

  • A substitute tour of equal or greater value (if available),
  • Or a full refund of all monies paid.

We are not liable for any additional costs, losses, or inconveniences caused by cancellations.

Force Majeure

We are not liable for disruptions caused by events beyond our control, including but not limited to:

  • War, terrorism, civil unrest, border closures, government actions, pandemics, strikes, road closures, extreme weather, or natural disasters.

In such events, refunds may be subject to deductions based on costs already incurred.

Travel Insurance

Ndovu African Expeditions does not provide travel insurance. All clients must obtain comprehensive travel insurance in their home country, covering:

  • Medical emergencies
  • Medical evacuation
  • Repatriation
  • Trip cancellation and interruption
  • Personal belongings

Please ensure your policy covers adventure travel in remote regions.

Medical Conditions

Clients must disclose any relevant medical conditions at the time of booking. You are responsible for assessing your own suitability for participation in the tour. Ndovu African Expeditions is not liable for any medical incidents resulting from pre-existing conditions or failure to disclose relevant health information.

Medical services in remote parts of Tanzania may be limited and below international standards.

Special Requirements

We will do our best to accommodate special requests (e.g. dietary needs, room preferences), but these are not guaranteed and do not form part of the contractual agreement.

Prices, Surcharges & Taxes

Tour prices are subject to change due to fluctuations in:

  • Accommodation or transportation costs
  • Park fees
  • Fuel prices
  • Government taxes or levies
  • Exchange rates

Price changes may be made up to 30 days before departure.

In the event of a price increase, clients may:

  • Cancel the booking and receive a full refund, or
  • Accept the revised price

Clients must notify us of their decision within 14 days of receiving the notice.

Itinerary Changes

By booking with us, clients accept that flexibility is necessary in adventure travel. Itineraries may change due to:

  • Weather conditions
  • Road closures
  • Political unrest
  • Flight changes
  • Illness
  • Mechanical issues
  • Other unforeseen events

We reserve the right to alter itineraries, accommodations, and transport as needed. In such cases, no refunds or discounts will be provided for missed or unused services.

Risk

Participation in our tours involves inherent risks, including exposure to wildlife, remote locations, and challenging terrain.

Clients acknowledge and accept all associated risks, and release Ndovu African Expeditions from any liability for:

  • Injury, death, or illness
  • Loss or damage to personal property
  • Delays, inconvenience, or discomfort

You must comply with all local laws and safety instructions. Failure to do so may result in immediate termination of your tour without refund.

Complaints made after the tour must be submitted in writing within 30 days of the tour’s end.

Third-Party Suppliers

We work with third-party providers (e.g. accommodations, guides, airlines). While we select these providers carefully, we do not control them and are not responsible for their actions or omissions.

Ndovu African Expeditions is not liable for:

  • Delays
  • Losses
  • Injuries
  • Cancellations
  • Dissatisfaction related to third-party services

Liability

Ndovu African Expeditions Limited is not liable for:

  • Loss, theft, or damage to personal belongings
  • Client negligence
  • Force majeure events
  • Unavoidable third-party failures

You are responsible for securing your belongings at all times during the tour.

Images & Marketing

Ndovu African Expeditions reserves the right to use any photos or videos taken during the tour for marketing purposes. By joining our tours, you consent to the use of your image for promotional content, unless stated otherwise in writing before the tour begins.

Amendments

Ndovu African Expeditions may update these Terms & Conditions at any time. Revised terms will be posted on our website and will take effect 10 days after posting.

Clients are responsible for reviewing the most current version prior to travel. Continued participation in our services implies acceptance of the updated terms.
